(NC)-To be competitive in today's economy, more Canadian businesses are focusing on strategic growth and building core products and services. In many cases, this means engaging an employer services provider for clerical tasks such as payroll, human resources (HR), benefits administration and time and labour management. Moreover, most would add that these functional tasks are not only time-consuming, but also costly and cumbersome.
Choosing the right outsourcing provider is the critical first step in freeing your time to focus on more strategic tasks; but it's not always easy to find that perfect fit. ADP (www.adp.ca) suggests the following ten steps to help you find the right company to alleviate your administrative headaches:
1. Choose wisely. Choose an employer services provider that is stable, employs highly qualified professionals and has the resources and expertise to handle both immediate and gradual shifts in your business.
2. Do your homework. Ask for references and, by all means, check them. Ensure the provider has tangible experience in your specific field and a proven track record in the industry. Examine the number, type and longevity of its client relationships.
3. Find good chemistry. If you like and trust the people, if they understand the way you do business, and you see a compatible corporate culture, it could be the service provider for you.
4. Be honest and thorough. Keep your outsourcing provider informed on developments in your payroll and HR department to ensure they understand your business and can recommend the correct mix of products and services.
5. One voice keeps it simple. Give your outsourcing provider one main day-to-day contact, who is involved in the appropriate business functions, such as HR and payroll, but also senior enough to make strategic and budgetary decisions.
6. Be sure it's in the contract. Clearly state each party's responsibilities to limit confusion and conflict. The contract should outline specific conditions, but also be flexible enough to adapt to change.
7. Don't write it in stone. A good provider will address your business requirements but also generate additional ideas and insight. Keep your plans flexible as things can always change.
8. Plan together. Working hand-in-hand from the start will ensure your working relationship gets off on the right foot, generating better results.
9. Provide continuous feedback. Don't expect your outsourcing provider to read your mind. If you feel something is missing or performance is lagging, let your representative know. Communication is key especially when a third party is handling some of your responsibilities.
10. Plan ahead. Look three to five years ahead in your business plan and choose an outsourcing provider who can grow and change with you. You don't want to be looking for someone new in a few years time.
